Connect QuickBooks Desktop

Because QuickBooks Desktop runs on a computer or server in your office, Benji Pays uses the free QuickBooks Web Connector to synchronize your QuickBooks Desktop data with Benji Pays. This utility is provided, built and maintained by Intuit, the creators of QuickBooks.

IMPORTANT The QuickBooks Web Connector must be installed on a computer with QuickBooks Desktop installed and access to your QuickBooks company file, either on the same machine or through your internal network. If you use hosted QuickBooks Desktop, confirm with your hosting provider that it supports the Intuit Web Connector.

Before you begin

  • Intuit QuickBooks Canadian or US versions: Pro (2002 or later), Premier (2002 or later), Enterprise (all editions), or Simple Start (2006 or later).
  • Intuit QuickBooks Web Connector 2.0.0 or later.

Set up the Web Connector

  1. Download and install the latest version of the Intuit QuickBooks Web Connector.
  2. In Benji Pays, go to Settings > QuickBooks Desktop Settings and download the QWC file. Save the file to your computer.
  3. Open QuickBooks and the company file you want to connect to Benji Pays.
  4. Double-click the downloaded QWC file. This opens QuickBooks Web Connector and prompts you to authorize Benji Pays to connect to your company file.
  5. When prompted, choose whether to allow access only while the company file is open or even when QuickBooks is closed.
  6. Enter the QuickBooks Desktop password for your Benji Pays account and run your first synchronization. Find this password on the same Benji Pays page where you downloaded the QWC file. The first synchronization imports your customers, invoices and other data required by Benji Pays.
IMPORTANT A Benji Pays account can connect to only one QuickBooks company file. Open the correct company file before you begin.

Troubleshooting

If the Web Connector does not synchronize with Benji Pays, use Intuit’s testing tool to confirm that the Web Connector itself is working.

If the test does not work in your environment, contact Intuit Support for help confirming that QuickBooks and the Web Connector are set up correctly.
